Fundraising for Student Clubs

New Changes

  • Charitable gifts can now be deposited directly to your ASI donation account and no fees will be incurred
  • It’s easy to access and spend the money, and you can spend every dollar you raise!

What’s Required?

Every CPP student club and organization is required to register with the Office of Student Life in order to receive charitable or non-charitable donations. Any financial support received by a registered CPP club or org, charitable or non-charitable, must be deposited into the student club’s/organization’s ASI Donation account (5XXXXX) or Agency account (3XXXXX) respectively.

What’s a Charitable Gift?

  • In order to issue a charitable tax receipt, no goods or services may be given in exchange for the gift
  • For example, a bake sale or car wash where the donor is receiving something would not be eligible for a charitable tax receipt
  • When a friend, family member or other supporter gives your club money and you give nothing in return, that is a donation to your student club where CPP Gift Processing will issue a charitable tax receipt
  • Profit Sharing: when a student club partners with an organization (normally a restaurant or food establishment) to share a portion of their profits for a specific period of time – this is a charitable donation
  • Charitable gifts should be deposited to your ASI Donation account (5XXXXX account)

Processing a Charitable Gift

  • If the donor needs the Employer’s Identification Number (EIN) or the W-9 Form, for donations under $3,000, you can obtain ASI’s W-9 Form here. For donations $3,000 or more, use the CPP Philanthropic Foundation’s W-9 Form
  • Contact ASI Financial Services at asifs@cpp.edu if the donor needs an invoice
  • Gifts to fraternities and sororities are not charitable per IRS regulations

What’s a Non-Charitable Gift?

  • If there’s an exchange of goods or services for a donation, then the donation is not charitable, and the donor will NOT receive a charitable tax receipt
  • Any money collected for selling things such as a bake sale is not charitable
  • Non-charitable gifts should be deposited to your ASI Agency account (3XXXXX account)

Processing a Non-Charitable Gift

  • If the sponsor needs the Employer’s Identification Number (EIN) or the W-9 Form, you can obtain ASI’s W-9 Form here
  • Contact ASI Financial Services at asifs@cpp.edu if the donor needs an invoice
  • When seeking external program support (non-charitable gift), you can send the standard “Introduction Letter for Non-Charitable Support for Clubs” to prospective sponsors
  • After receiving external program support, it is recommended that you send the sponsor the standard “Thank you letter for Non-Charitable Support for Clubs”

  • To ensure timely processing, mail checks to:

  • CPP Gift Processing will issue a charitable tax receipt to donor
  • ASI Financial Services will notify you when the check has been deposited into your account

  • Follow ALL ASI cash handling procedures—submit any checks received in-hand to ASI Financial Services by next business day and ASI Financial services will contact CPP Gift Processing to pick up your check

Non-Charitable Gift

Crowdfunding

All student clubs are eligible to apply for a crowdfunding project

All the money will go to your cause and no additional fees will be incurred

Crowdfunding is only for donations – not for personal fundraising, events or ticket sales

How to Launch a Successful Crowdfunding Campaign

What is your goal? Be specific.

By when do you need to reach your goal?

How will you achieve your goal?

Minimum of 8 ambassadors who can commit to reaching out to 20 people each

What project materials can you collect before launching your crowdfunding campaign?

These include photos, videos, project description, etc.

Who will be the leaders of your campaign?

Is it your fundraising chair, treasurer, president, etc.?

Crowdfunding Application

  • Go to the Crowdfunding Application website
  • Click on ‘submit an application’ in the top-right menu
  • Fill out the form and click ‘submit project’
  • The annual giving team will review your application and will be in touch

Common Questions

Checks should be made out to ASI and the name of your club in this order: Associated Students Inc, Name of Your Club. For example, the Happy-go-lucky Club would have their checks made out to “Associated Student Inc, Happy-go-lucky Club.” Make sure they include the name of your club after ASI so that the check will be deposited into your club’s account.

A donation under $3,000 will be deposited into an ASI Donation account (5XXXXX). To access money in this fund, contact ASI Financial Services at asifs@cpp.edu. Their hours are 8 a.m. to 5 p.m. Visit them online at here.

A donation in the amount of $3,000 or more will be deposited into the Cal Poly Pomona Philanthropic Foundation. To access these funds, your faculty advisor will work with the college or department area budget analyst.

Yes and yes. A tax receipt will be issued to donor once their gift is deposited by Gift Processing.

Yes, but any money collected for selling things is not considered charitable. Asking for donations is charitable; a bake sale is not. No goods or services can be exchanged for a donation.

A donation of $3,000 or more will be managed by the Cal Poly Pomona Philanthropic Foundation. A faculty or staff member who has authorization to access the funds will need to work with the college or department budget analyst to spend them. Gifts over $3,000 will be charged a one-time 5% gift-administration fee.

No. Due to tax laws, these changes apply to clubs only, not to fraternities or sororities.
