ASI Room Reservations

Conference and Events will begin accepting 25Live room requests for non-recurring events (no club meetings) ONLY on 25live for the 24-25 academic year (June 2024- May 2025) on the following dates for the following areas:

Monday March 25: ASI departments and Student Clubs/Orgs

Monday April 8: CPP On-campus departments

Monday April 29: Off-campus departments (non-affiliated with CPP)

Requests must be made at least 3-4 weeks prior to the desired start date.

All reservations must be made using 25Live and are subject to approval by ASI Conference and Events Services (C&E). When completing your reservation through 25Live, please answer all questions on the event form to be assisted with your reservation.

Common Questions

  • Student Clubs and Organizations must go through CORE trainings, hosted by the Office of Student Engagement, Leadership, and Success (SELS) before receiving 25Live access. Only the Scheduler can make changes to the event and will serve as the main point of contact between ASI’s Conference and Events Department and the student group. 
  • On-campus departments must contact their department head before receiving 25Live permissions. 
  • For external/non-CPP groups, please reach out to cedesk@cpp.edu 
Once ASI’s Conference and Events team receives your request, your location will be put on hold for your event. Schedulers will be notified of any required actions in a tentative notice email. After all necessary approvals are obtained, the Scheduler will receive a confirmation notice via email. 
Depending on the space requested and event specifics, the approval can take a minimum of 5 business days for small meetings. All other spaces have an approval process with a minimum of 14 business days. ASI’s Conference and Events team requires all event requests to be submitted at least 2 weeks prior to the preferred event date. Requests submitted less than 2 weeks prior to the preferred event date may not be accommodated. 
Assessment is required when the event includes:

  • Food 
  • Guest speakers
  • External vendors 
  • Headcount of 200 or more 
  • Alcohol 
  • Minors (non-CPP students) 
  • Nature of the activity (sporting activity, inflatables, hikes, etc.) 

Please keep in mind that ASI holds final approval over events at the BSC and BRIC. Confirmation from other departments on campus does not confirm your event in these spaces. 

Reservations for future semester are not currently open at this time. Please keep an eye out for Fall ‘24 reservable dates. 

ASI’s Conference and Events Department can provide a limited number of tables and chairs at the Bronco Commons and University Park. On-campus departments will need to submit their permit from License of Facilities to cedesk@cpp.edu before resources can be provided. Groups are responsible for providing their own tables and chairs at all other outdoor spaces.

ASI will provide tables and chairs if the event is in the Bronco Student Center (BSC) or the Bronco Recreation & Intramural Complex (BRIC).

You can pay for your event in the following ways:

  • Cash 
  • Checks made payable to “Bronco Student Center” 
  • Purchase Order (PO): submitted by Student Groups for payments through OnBase 
  • Chartfield string account number: must be written and signed by the authorized account owner on ASI Reservation Quote 
  • Foundation account number: must be written and signed by the authorized account owner on ASI Reservation Quote 
ASI has webcams available for small meetings. For larger requests, such as live streaming, recording, or hybrid events, please put in a request with MediaVision services
